Secretary: Anita Moose

The Secretary shall be at all meetings, keep and distribute accurate records of the proceedings, and maintain the records of the organization. The Secretary shall provide notice of each meeting to the BOD and general membership. S/he shall keep up-to-date address/telephone/email rosters for paid members (from the treasurer), and other non-member businesses, officials, and individuals with an interest in the Sister Cities activities. The secretary will update the webpage with minutes and scheduled monthly meetings.

 

Sister City Coordinators:

Each Sister Cities Coordinator is responsible for the relationship and is the primary communication and action link with his/her designated city. It is the coordinator’s responsibility to maintain monthly communications with his/her committee members and the Sister City counterpart and keep informed of the activities and plans. Each coordinator shall insure that updates of events and activities are posted on the webpage prior to the monthly meeting. In September, a summary or the previous year of activity and a proposed plan and budget will be presented. Co-chairs should be considered. (Reviews and evaluated every 2 years?)

 

To support the sister city international mission statement of promoting peace through mutual respect, understanding, and cooperation – one individual, one community at a time by facilitating exchanges between Aspen Sister Cities

 

Programmatic:

  • Acting as Nexus and creating an initial contact between individuals or groups of the two communities that share similar interests or motivations
  • Helping to organize communication between these individuals and organizations, and acting as translators when necessary.
  • Facilitating logistics and supervising exchanges
  • Assisting with the evaluation of exchanges and planning for future exchanges
  • Maintain contact with counterpart(s) regularly and build relationships
  • Be an exemplary ambassador of Aspen in interactions both domestically and abroad.

 

Administrative:

  • Attend monthly meetings of Aspen Sister Cities and submit monthly reports 3-7 days before the meeting.
  • Stay apprised of issues
  • Present summary, propose plans and budget for upcoming year at annual meeting
  • Encourage co-coordinator
  • Assist with contact database

Abetone:

Sister City Student Exchange Coordinator(s)

Purpose: To coordinate all activities related to the all middle and high school level Sister Cities student exchanges and to be the liaison between the Sister Cities organization and the schools

  • Manage student exchange budget, which includes timely collecting all fees, taking care of banking procedures, and maintaining Quickbook records
  • Report to Sister Cities Committee at monthly meetings and other stakeholders, which includes city coordinators
  • Communicate regularly with administrators at all three participating schools regarding exchange process
  • Promote student exchange programs at participating schools in Aspen area
  • Facilitate student application process (including interviews and communication for selections)
  • Coordinate all fundraising efforts for student programs
  • Coordinate travel arrangements for student groups visiting other countries and all activities for student groups that visit Aspen
  • Act as liaison and advocate for students and their host families throughout year of participation
  • Coordinate teachers to facilitate/teach the student language/culture classes
  • Prepare and facilitate parent prep meetings
  • Troubleshoot problems that arise during exchange and ask for support when necessary
  • Coordinate scholarship applications and selection
  • Initiate chaperone application and selection process
  • Be primary communicator/support system for chaperones and host liaisons while group(s) is traveling
  • Maintain google documents, forms, spreadsheets
  • Coordinate appreciation efforts towards supportive entities for student activities here and abroad (i.e. Thank you notes, public notices, etc)
  • Coordinate presentations at Sister Cities meetings after returning to Aspen from travel and whenever possible, allow visiting guests to be introduced at monthly meetings
  • Debrief with chaperones and city coordinators upon return from each trip
  • Send out program evaluations for students and parents and analyze feedback at the end of each exchange, and then share results with the rest of the Sister Cities Committee annually
